Bibliographic Record Deletion, Overlay, Suppression and Attached Record Transfer Policy

Bibliographic records must be deleted, overlaid, and suppressed according to this policy and established procedures.

Coding Records for MELVYL Deletion:
Cataloged records that meet all requirements for inclusion in MELVYL must be coded for MELVYL deletion in order to be removed from MELVYL. Only Catalog Maintenance staff and selected others code records for MELVYL deletion.

Simple Record Deletion:
Only use ANTPAC's delete button to remove records that do not have a catdate. If you need to remove records with a catdate, consult your supervisor or Catalog Maintenance.

Bibliographic Record Suppression with Bcode3 value "n":
Bcode3 value "n" only suppresses bibliographic records in ANTPAC. It does not remove records from MELVYL. Only Catalog Maintenance staff and selected others code records for MELVYL deletion.

Overlaying Records:
Do not overlay:

• a cataloged monograph record with a serial record
• a cataloged serial record with a monographic record
• any record with a record that is not for the same title. Important: Different editions and different physical formats are considered different titles.

If you overlay an OCLC record for the same title with another record for the same title, remember to remove UCI's holdings from the initial OCLC record.

Overlay errors: Consult your supervisor immediately if you:

• Insert instead of overlay
• Overlay the wrong record

Transferring attached records:
Some job assignments require transferring all of the records attached to a bibliographic record to another. If the source record is cataloged, you must refer the record to appropriate staff for MELVYL deletion coding. If the source record is not cataloged, you may simply delete it.
